Why “Just Using Venmo” Can Hurt Your Wellness Business

Published on 20 July 2025 at 16:11

Earning your first few dollars in business is thrilling. After all the planning, posting, marketing, and stepping out of your comfort zone, someone finally says “yes”—and you're ready to take your first payment.

But if you don’t have a system in place before that first client, it can be a scramble. Maybe you just take cash or accept Venmo to your personal account, just this one time. It feels quick and easy, but relying on personal payment apps like Venmo might be costing you more than you realize.

Here’s why.

🚫 1. It Doesn’t Look (or Feel) Professional

Venmo is great for splitting dinner, repaying a friend, or covering gas money—but it doesn’t give off a professional vibe.

You’ve worked hard to build a wellness business that feels safe and trustworthy. Clients notice when your systems feel scattered or improvised. If some payments happen via PayPal, others through Venmo, and still more in cash or a booking app, it creates friction and confusion.

As one of my business coaches once said:

“A confused mind always says no.”

Let’s not let something as simple as your payment system be the reason a client hesitates.

⚠️ 2. It Can Create a Tax-Time Nightmare

If your Venmo account is used for both personal and business expenses, it becomes very difficult to track what’s what.

For example, if you’re paying for both Facebook ads and your kid’s soccer fees from the same account, how do you untangle that later? Co-mingling your funds makes clean bookkeeping nearly impossible—and it could cost you in higher tax prep fees or lost deductions.

Even if you have a separate business bank account, linking Venmo to both personal and business activity muddies the waters. It's not worth the risk.

📈 3. It Won’t Scale with You

It’s easy to track a couple Venmo payments when you have two clients. But what about when you have twenty?

Even if you remember who paid and when, you can’t easily present that to a lender, grant reviewer, or future collaborator. Clean records are essential for growth—and that starts with clean systems.

If you want your practice to evolve into something bigger, don’t rely on short-term solutions.

✅ So, What’s the Solution?

It’s not about perfection. It’s about systems.

Start by choosing one area—like payment processing—and walk through it from your client’s perspective:

  • Is it clear how they pay you?
  • Do they feel safe and confident in the process?
  • Can you easily track and report those payments later?

Look for ways to streamline. Maybe that means switching to a payment processor clients can use by text, or integrating payment into your booking software. There are so many user-friendly tools out there today—and many are affordable or free.

💬 Let’s Make It Easier

If your payment system feels clunky or your financial setup isn’t supporting your growth, you don’t have to figure it all out alone.

I offer free clarity calls for wellness professionals who want to reduce stress, clean up their systems, and focus more on what they love. It’s a friendly, no-pressure conversation about where you are now—and where you’d like to be.
